Role:

Daily Workflow

Start of day (first 30 minutes)

  • Open the Setter Scoreboard and check the never called list in the Leads table — those get called first
  • Check overnight texts and reply to every one before making new calls
  • Review today's booked appointments and send confirmation texts

New leads — the 5-minute rule

  • When a new Local lead comes in, call within 5 minutes. Speed to first call is the #1 graded metric
  • No answer → send the opener text immediately, then double-dial
  • Log the outcome in GHL so the conversation history stays accurate

Call blocks

  • Two protected call sessions daily: 10am–12pm and 4pm–6pm
  • Work newest leads first, then follow-ups due today (day 1, 3, 5, 7 cadence)

End of day

  • Zero unanswered inbound texts
  • Every new lead from today has at least one call and one text
  • Tomorrow's follow-up list ready

How You're Graded

The Scoreboard updates from GHL and grades four things:

  1. Speed to first call — lead created → your first call. A = under 5 minutes (business hours; weekends and after-hours don't count against you)
  2. Text response time — a lead texts in → you text back. A = under 5 minutes
  3. Unique contacts called per day — different people dialed, not total dials
  4. Touches per lead — calls + texts per lead. A = 6 or more; most bookings happen on attempts 3–6

Only your own calls and texts count — automated workflow messages are excluded, so the auto-texts don't do your job for you.
